This article is intended for people in charge of configuring the business directory of their company. The business directory can be configured either by a company administrator, or a company member with the Business Directory role (see: Delegate the business directory management to a company member).
The business directory contains a list of contacts (people and/or companies) shared by company members. From the search bar of their Rainbow application, company members can search contacts, display information on a specific contact, and invite the contact to join their network.
To configure the business directory, you can either:
- Declare the contacts in bulk, by importing a csv file with contact data (see: Contact bulk provisioning)
Note: The Enterprise license is required for contact bulk provisioning. - Declare the contacts one by one (see: Configuring a contact)
Contact bulk provisioning
Bulk provisioning allows to add, modify, delete a number of contacts in one go via a CSV file.
This operation consists in:
- Exporting either:
An empty template file (CSV format) to create new contacts
The exported file contains a header line indicating the fields to complete, instructions to complete fields, as well as an example of contact creation.
A CSV file of existing contacts, to modify/delete existing contacts, or create new ones
The exported file contains a header line indicating the fields to complete, as well as data of already declared contacts. - Editing and completing the file with the contact data
- Importing the updated file
Procedure:
- From the Rainbow administration interface, click on the Manage your company icon at the bottom of the left menu.
- If your are a company administrator, click on My company, then Business directory in the left panel, and click on the Contacts tab in the right part of the window.
- Perform any of the following:
To create new contacts from an empty template: Click on Import, then Download Sample File.
To manage (create, modify, delete) contacts from the CSV file of existing contacts: Click on Export.
Note: When contacts are created from an empty template, and imported to the business directory, they replace the existing contacts of the current business directory.A registration pop-up window opens. - Browse, and save the file locally.
- Edit the file with a text editor.
- For each line, perform any of the following:
To add a contact:
Copy/paste the line of an existing contact.
Complete the fields with the contact data.
To modify a contact, modify the fields with the contact data.
To delete a contact: remove the line with contact data.
In this example, three contacts are created. - Save the file.
- From the Contacts tab (see step 3), click on Import.
- Click on Browse and select the path where the file is saved.
- Enter a description (mandatory).
- Click on Import.
A summary of the actions performed in the file is displayed. - Click on Import to confirm.
The BULK OPERATIONS RESULTS frame indicates the result of the operation. - Click on Back to display the new contacts in the business directory.
Configuring a contact
Adding a contact
- From the Rainbow administration interface, click on the Manage your company icon at the bottom of the left menu.
- If your are a company administrator, click on My company, then Business directory in the left panel, and click on the Contacts tab in the right part of the window.
- Click on Add.
- Complete the Information and Address tabs with the contact data.
Tags can be added to the contact in the Information tab. These tags can be used as search criteria to find a contact. For more details on tags, see: Apply tags to business directory contacts.
Note: The Last name and Company name field are mandatory. - Click on Add.
The new contact is displayed on the business directory.
Updating contact data
- From the Rainbow administration interface, click on the Manage your company icon at the bottom of the left menu.
- If your are a company administrator, click on My company, then Business directory in the left panel, and click on the Contacts tab in the right part of the window.
- Move your mouse over the target contact, click on , and select Edit.
- Modify the Information and Address tabs according to your needs.
- Click on Update.
Deleting a contact
- From the Rainbow administration interface, click on the Manage your company icon at the bottom of the left menu.
- If your are a company administrator, click on My company, then Business directory in the left panel, and click on the Contacts tab in the right part of the window.
- Move your mouse over the target contact, click on , and select Delete.
A confirmation pop-up window opens. - Click on Delete to confirm deletion.
The contact is deleted from the business directory.

Is there a limit of contacts in the system?
From on of our customers we got an request to have the possibility to disable the option to search in the business directory for same of the users.
Can this been implemented same how?
Hello,
For the moment, the company directory is global. There are requests to have directories for sub-groups, such as departments, sites or others, but this has not yet been processed (it is on the "to-do" list).
