This article allows company administrators to configure the settings of their company members.
Each new member of the company is assigned a default user profile that can be customized according to company needs: see: Accessing the user profile configuration window.
The user profile settings are classified into several category tabs in the Rainbow application:
- Information: to configure personal information (first and last names, job title, department), user visibility in Rainbow and tags for quick search: see: Configuring user information
- Permissions: to grant the right to Rainbow features: see: Granting the right to Rainbow features
- Telephony: to configure the telephone numbers and telephone device when the company is associated to a PBX: see: Configuring phone features
- Prog. keys: to program keys for speed dial and DTMF sequence: see: Configure Programmable Keys
- Services: to assign a licence and options: see: Configuring licence and options
- Roles: to grant the right to company, business directory and/or channels administration: see: Configuring roles and access rights
- Security: to change the user password and authentication policy: see: Configuring password and authentication policy

Accessing the user profile configuration window
- From the Rainbow administration interface, click on the Manage your company icon
at the bottom of the left panel.
- In the left panel, click on Members.
- In the member list, select the target company member.
Configuring user information
- In the user profile configuration window, select the Information tab.
- If needed, modify the personal information (last and first names, job title, department).
- In the Visibility field, select:
- Same as company (default option): the visibility defined at company applies.
- Public: the user is visible in Rainbow to everyone.
- Private: the user is only visible in Rainbow to other company members.
- In the Tags panel, configure tags for the company member.
Tags are keywords that can be used as search criteria in the business directory (for example: by company and/or job title): in the Add tags box, enter the name of the tag and press enter or comma key. - Click on Apply.
Note: The Presence field indicates the current user state in Rainbow and the date/hour of logout, if offline. For more information on the available agent states: see: Understand the Statuses.
Granting the right to Rainbow features
- In the user profile configuration window, select the Permissions tab.
- In the Select the profile to restrict or grant services field, select the profile to apply to the company member.
Several predefined profiles are available. Each profile includes a set of Rainbow features with their rights to use: Allowed or Not allowed. The available Rainbow features are listed under the selected profile. - Click on Apply.
Configuring phone features
- In the user profile configuration window, select the Telephony tab.
- In the Equipment field, select the PBX associated to the customer company.
- In the Extension number field, select the internal extension number of the company member among listed available numbers.
- In the Public number field, select the public number of the company member among listed available public numbers.
The public number is defined as WORK PHONE number in the My profile of company member. - In the Device field (Cloud PBX only), select the associated telephone device among the list of available devices.
- For Cloud PBX only, configure the call settings: see: Configure call settings in a Cloud PBX.
- Click on Apply.
Note: If the target PBX and phone numbers are not available, contact your Rainbow reseller.
Configuring licence and options
- In the user profile configuration window, select the Services tab.
- In the Subscription field, select the license to apply to the company member.
Each license provides access to specific features. For details on the features available by license, see: Feature list.Note: If you want to activate new licenses or increase the number of licenses, contact your Rainbow Reseller. - Activate one or more Options, if any.
- Click on Apply.
Configuring roles and access rights
- In the user profile configuration window, select the Roles tab.
- Select Administration to grant the right to the company member to administrate his/her company.
- Select Modify the professional directory to delegate the business directory management to the company member.
- For company member with an Enterprise license, grant the right to create channels for the company.
- Click on Apply.
Configuring password and authentication policy
- In the user profile configuration window, select the Security tab.
- Change the current password of the company member: click on the icon
to the right of the field to display the characters allowed for password entry.
Note: the company member is not notified of the change: you must provide him/her the new password. - If needed, select the sign-in method used for company member authentication.
Note: Default option indicates that the Single Sign-On (SSO) method configured at company level, and activated for all company members, applies. If Default is selected, and there is not SSO configured and activated for all company members, the company member authenticates via the Rainbow user password.
- Click on Apply.
